Job Description

Job Description

Build the Function That Gets Every Record — and the Team Behind It.

\n

\n

At Eleos CM, Inc, we’re transforming mass tort case management putting plaintiffs first with a simple, tech-forward experience from intake to settlement. Medical records are the backbone of every case we handle, and we’re building a dedicated retrieval function to make sure they arrive complete, accurate, and on time.

\n

We’re looking for a Medical Records Retrieval Manager to stand that function up and lead the team that runs it.

\n

\n

WHY ELEOS CM, INC?

\n

\n
    \n
  • Purpose-driven work — every record you recover moves a real person closer to justice
  • \n
  • Tech-forward environment — we use modern tools to simplify complex, high-volume work
  • \n
  • Collaborative culture — titles don’t limit contribution; every win is shared
  • \n
  • Mentorship-first — work closely with leaders who invest in your growth
  • \n
  • Room to grow — we promote ownership, initiative, and continuous learning
  • \n
\n

\n

THE ROLE

\n

\n

As our Medical Records Retrieval Manager, you’ll build and lead the team responsible for obtaining clients’ medical records—from authorization through file-ready. You’ll write the SOPs, set the standards, run the team day to day, and own the numbers that show it’s working—turnaround, completion, and accuracy across a high volume of active cases.

\n

This is a player-coach role with real ownership. You’ll partner with our Chief Legal Officer and Chief People Officer to staff and scale the department, step in directly on the toughest retrievals, and make sure records are never the reason a case stalls.

\n

If you like building something from the ground up—processes, a team, and a track record—this is your chance to own a function that matters to every case we touch.

\n

\n

WHAT YOU’LL DO

\n

\n
    \n
  • Build and document the SOPs, intake steps, and tracking standards that let the function scale
  • \n
  • Run the retrieval team day to day—directing workload, coaching, and developing your specialists
  • \n
  • Partner with firm leadership to size, justify, and fill the team ahead of demand
  • \n
  • Maximize record collection by getting clients onto phone and video calls—and stepping in on the toughest retrievals yourself
  • \n
  • Own measurable retrieval outcomes—turnaround, completion, and accuracy—across every active case
  • \n
  • Set and audit completeness standards so records are usable on first delivery
  • \n
  • Build relationships with providers, HIM departments, and retrieval vendors to keep turnaround fast
  • \n
\n

\n

WHAT WE’RE LOOKING FOR

\n

\n

Required

\n
    \n
  • Experience in medical records retrieval, health information management, or medical-legal records
  • \n
  • Demonstrated experience leading or supervising a team or function
  • \n
  • Working knowledge of records authorization and release processes and health-information privacy (HIPAA)
  • \n
  • Strong client-facing communication—you can guide non-experts through complex steps
  • \n
\n

Preferred

\n
    \n
  • Experience in a plaintiff-side, mass tort, or personal injury environment
  • \n
  • A track record of building, scaling, or standardizing an operational function
  • \n
  • A relevant health-information credential (e.g., RHIT or RHIA)
  • \n
\n

\n

BENEFITS & PERKS

\n

\n

Competitive pay is just the start. Here’s how we look after you, your family, and your growth.

\n

Health & financial security

\n
    \n
  • Medical & dental premium covered for employee-only coverage
  • \n
  • Vision coverage and multiple medical plan tiers to match your life and budget
  • \n
  • Company-paid basic life and AD&D for every benefits-eligible employee
  • \n
  • Long-term disability and supplemental life coverage available
  • \n
  • Coverage that extends to spouses, registered domestic partners, and dependents
  • \n
\n

Time, growth & flexibility

\n
    \n
  • Paid holidays, paid time off, and generous sick leave
  • \n
  • A recognition and rewards program that makes great work visible
  • \n
  • Real coaching, regular feedback, and mentorship focused on where you’re headed
  • \n
  • A custom training platform built around your role and long-term growth
  • \n
  • Remote-first across select U.S. states, with all equipment provided plus a monthly work-from-home stipend
  • \n
\n

Benefits are summarized here for recruiting purposes. Full plan details, eligibility, and current contribution amounts are provided during onboarding.

\n

\n

HOW WE HIRE

\n

\n

A clear, respectful process — three stages, designed so you always know where you stand.

\n
    \n
  • Apply. Send your application for an open role everyone is reviewed by our team.
  • \n
  • Conversations. A few focused conversations how many depends on the role always including the hiring team and the people you’d work alongside.
  • \n
  • Offer. If it’s a fit on both sides, we move to bring you on board and set you up to succeed.
  • \n
\n

\n

The Values We Hire By

\n

Skills can be taught. These are what we look for first — in every role, at every level, on every docket.

\n
    \n
  • If you don’t own it, someone else will
  • \n
  • Empowerment starts with understanding
  • \n
  • Live it. Breathe it. Evolve with it.
  • \n
  • Collaboration has no boundaries
  • \n
  • Openness builds unbreakable trust
  • \n
  • Purpose drives every innovation
  • \n
